After many years of hands-on experience organizing and managing corporate events, conferences, and international MICE programs in Vietnam, I’ve come to realize one important thing:
most event problems do not stem from complex challenges, but from basic mistakes that are often underestimated or overlooked during the preparation stage.
Below are the most common mistakes I frequently encounter - and practical ways to avoid them, based on real-world experience.

Common mistake
Many events are launched while objectives remain vague:
Is this an internal or external event?
Is the goal branding, team engagement, or stakeholder communication?
Should the focus be on guest experience or cost optimization?
When objectives are unclear, every decision that follows—concept, content, staging, and budget—tends to become fragmented and superficial.
How to avoid it
From the very beginning, I always align with clients on three core questions:
What is the purpose of this event?
Who is the most important audience?
What should guests remember after the event?
Only when objectives are clearly defined can the design and execution move in the right direction.

Common mistake
For international or multinational events, applying a “one-size-fits-all” approach often backfires:
Inappropriate cultural protocols
Inconsistent language usage
Experiences that fail to meet guest expectations
How to avoid it
My approach is to thoroughly research the guest profile:
Nationality, culture, and religion
Familiar event formats
Expected level of formality
This allows every detail—from décor and music to MC style and F&B—to reflect Vietnamese identity while remaining welcoming and comfortable for international guests.
Common mistake
Many serious issues arise due to:
Inadequate rehearsals
Equipment that doesn’t match the venue or scale
Lack of backup plans
These are the types of problems guests notice immediately—and the hardest to fix once the event has started.
How to avoid it
In every project I personally oversee:
Full technical rehearsals are mandatory
Backup systems for sound and visuals are always prepared
On-site technicians remain present throughout the event
Technical execution isn’t just “behind the scenes”—it’s the foundation of a seamless experience.

Common mistake
An impressive stage and grand décor can still result in a poor experience if:
Guest flow is confusing
Waiting times are too long
Program pacing lacks rhythm
As a result, guests may feel tired or disengaged—even when the event looks visually stunning.
How to avoid it
I always view events through the lens of the guest journey:
From receiving the invitation
To arrival and check-in
Participating in the program
And leaving the venue
Each touchpoint should feel smooth, intuitive, and emotionally engaging.
Common mistake
Corporate events involve multiple stakeholders. Problems occur when:
Timelines are not detailed enough
Roles and responsibilities overlap
There is no clear final decision-maker
Even a small last-minute change can trigger a domino effect.
How to avoid it
From experience:
Create a detailed, minute-by-minute run-of-show for key moments
Assign clear responsibility for every task
Appoint one overall coordinator with final authority
Clarity allows the entire team to operate more confidently and efficiently.
Common mistake
Weather changes, traffic issues, last-minute requests from clients or speakers—without preparation, teams can easily be caught off guard.
How to avoid it
For every event, I always ask:
“If this doesn’t go according to plan, what is our Plan B?”
Preparation prevents panic and ensures professionalism when unexpected situations arise.

Corporate event management is not just about following a checklist—it is the integration of strategy, experience design, and real-time problem-solving.
These mistakes may never be eliminated entirely—no event is perfect—but with experience and thoughtful preparation, they can be anticipated, minimized, and handled gracefully.
I hope these insights from real-world practice are helpful for anyone planning corporate events in Vietnam or working with international audiences.
